#1 Including Your Event Rentals In Your Budget
Without a professional planner, event planning can be stressful and chaotic. An easy way to manage the stress and workload that comes with event planning is to organize your responsibilities, first and foremost by creating a budget. To create a budget, use a reliable template such as Microsoft Excel or Google Docs. Organize your template by creating columns for all areas you will need to cover to plan the event—essentially anything that money will be spent on – such as the product or service needed, and its cost. You can identify areas which require further planning or attention by highlighting or tagging the entry in the spreadsheet software.
For each section, create a column dedicated to notes or details regarding the service, for example, the quantity of the service that is needed to accommodate all the guests at the event. Another useful idea is to include a column indicating the percentage of your budget that you are willing or able to dedicate towards a certain product or service.
If you have a large team helping plan and organize the event, an additional template may be useful to include to highlight who is in charge of which duties and when the duties should be completed by to ensure that responsibilities are being taken care of.
#2 Choosing Your Event’s Tables and Chairs
Tables can be decorated in hundreds of ways, from the shape and size of the table to how the table is decorated. Tables come in a variety of shapes, including round or rectangular tables. Round tables offer a more engaging seating arrangement as all guests will be facing each other and be able to easily communicate. Regular sized tables generally seat six guests, larger tables can seat about 8 to 10. Larger tables are ideal as they will need fewer table settings and centrepieces, thus being lower in total cost.
Rectangular tables offer a more vintage look and can be placed separately around the venue or lined up in rows. Tables that seat 6 to 8 people generally cost around $7 per table.
While tables are generally covered in linens, chairs do not need to be. Therefore, selecting a chair may be more difficult, as the look of the chair on its own is very important.
